Accounts Receivable
We process all payments on a daily basis. We provide multiple payment options including ACH, Credit Card, E-Check, Lockbox services, and the ability to drop checks off at local branches. All homeowners will be sent coupon booklets (with envelopes) along with all their payment options.
Comprehensive Delinquency Reporting
Board members, the property manager, the association’s attorney, as well as anyone else designated by the board will have direct internet access to the homeowners’ account ledgers through a secured web site. We will charge late fees and send out first notice per the Board’s instructions. We will send final notices per Florida Statue. We will turn over accounts for collections per the Board’s instructions and work with the association’s attorney to collect funds.
Accounts Payable
Electronic accounts payable service is provided. This will eliminate paper checks and reduce fraud. Invoices will be uploaded to a website, coded by the bookkeeper, approved by the manger, and then electronically signed by the designated board members. Vendors will have the ability to be paid via paper check or ACH. Invoices and payment history will be available for review at anytime by anyone with approved access from the board. If the Board requires paper checks, we will process them as scheduled and prove courier services.
Financial Reports
On a monthly basis we will provide a balance sheet, income statement, bank reconciliation, bank statements, accounts receivable, and a general ledger to the board. All reports will be reviewed by our controller before being sent. We will provide and upload a consolidated version of the financials to the owner portal to satisfy Florida Statues.
Budgets
We will create a budget draft and work with the Board and property manger making changes as requested. We will work to ensure that the association’s reserve schedule meets Florida requirements. We will attend the annual budget meeting to address any questions from the membership. Upon approval of the budget, we will send out payment coupons to the homeowners.
Annual Audit
We will work with an independent CPA firm to conduct an annual audit, review, or compilation as is required.
Payroll Services
We provide payroll services including direct debit options for your employees. We will handle all the tax reporting to both the state and IRS.
